Please enter the Virginia Manor neighborhood from Gum Spring Road, near Buffalo Trail Elementary (see map below) so that we can have a safe and efficient swimmer drop off area.

The drop-off area is located on Lennox Hale Drive. You MUST drop your swimmer off on the side of the road closest to the parking lot, where they will exit the passenger side of the car. Swimmers will not be allowed to cross the road. Following the directions above will allow for a safe drop-off. 

Please be prepared to execute an efficient drop-off and clear your vehicle from this area as quickly as possible. Please allow yourself extra time to drop-off and park. Parking can be found along Lennox Hale Drive and surrounding neighborhood streets.

Team Area: Please refer to the map below for placement of our team during the meet. These areas are for swimmers and their families. Families may report to the pool deck to watch their swimmer(s), but then must leave the pool deck immediately after the completion of the race. It is our responsibility to maintain a neat team area. Medals will not be distributed until the Team Areas are clear.

Warm-Ups: 

Pre-Meet (at Willowsford): 6:45-7:05

Mid-Meet (at Dulles Farms): Swimmers competing in Breaststroke, Butterfly and Individual Medley events (second half) will have a warm-up period after the Backstroke events have finished. This break will be thirty minutes total, broken up into three ten-minute segments so all athletes have an opportunity to warm up. We will also use this time to switch to second half volunteers. See lane assignments below.

Pool Deck: There is limited standing room ONLY viewing from the pool deck. Spectators should time their arrival on the pool deck to align with their swimmer’s approximate swim time. The pool deck entrance is on the side of the pool nearest the playground. Follow signs for the spectator viewing area. Upon completion of your child’s swim, please exit the pool deck back towards the team area in a timely manner. NO CHAIRS are permitted on the pool deck, the clubhouse deck, or the sidewalk/path outside the fence. Feel free to set-up in the grass.

Restrooms: Restrooms for visitors/families are located in the upper portion of the clubhouse. The bathrooms accessible from the pool deck are ONLY for the use of coaches, volunteers and swimmers.

Concessions: We will run full concessions service with CFA sandwiches, Anita’s burritos, drinks (Gatorade, water, soda), and snacks (candy and other treats), along with Kona Ice and a Hershey’s Ice Cream truck. We will take cash and Venmo (@dullesfarms). We will be selling ‘lucky ducks’ to gift as encouragement to your friends/family/teammates as well as a 50/50 raffle.

Briefings: 

Officials – THANK YOU for volunteering your time and talents to ensure that every heat in every event is run according to the rules and that the playing field, in this case legal strokes, is fair for all swimmers. We will hold an Official’s briefing at 7:30 a.m. in the far corner of the pool. Please be dressed and ready to officiate. 

Timers – THANK YOU for volunteering to help collect accurate times for our swimmers. We will hold a timer’s briefing at 7:30 a.m. at the far side of the pool. At that time we will review timing procedures, assignments, and watch operations. 

ODSL Tech Suit Reminders: Dulles Farms would like to remind all swimmers that the Old Dominion Swim League prohibits technical swimsuits for any of our meets, dual or championship, for all ages. 

As per the ODSL bylaws (Section 8.5, emphasis added): 

A technical suit is defined in alignment with the guidelines by USA Swimming. A technical suit possesses the following characteristics: -Utilizes bonded or taped seams. -Is made of a woven/knitted fabric or a non-woven/knitted fabric that has been treated or coated and has a maximum permeable area of 30 square centimeters. -Has a maximum of two panels in the construction, other than the bonded or taped seams. -Has a maximum of one centerline seam in the construction. -Does not extend past the neck to ankles and wrists. 

Swimmers found in violation of this rule shall be disqualified from the event in which they were wearing a technical suit. As such, we encourage swimmers to wear their official team swimsuits and we reserve the right to disqualify any swimmer determined to be in violation of the tech suit prohibition.

Award Presentations: The medal podium will be located in front of the upper part of the clubhouse (see map). Award ceremonies for the Freestyle and Backstroke events will begin shortly following the completion of the Backstroke events. Presentation medals for Breaststroke, Butterfly, and Individual Medley events will be upon conclusion of the meet.

Lost and Found: Any found items may be delivered inside the upper clubhouse where the Computer Operators and Medals will be setup.

Parking:

• Please park anywhere in the Sycamore House parking lot that isn’t blocked off for team areas - this will be obvious.
• If no parking spaces are available, please park on the street along Founders Drive - but do not park in front of the farm stand on either side of the street.

• 7:35 AM - Dolphins warm-ups begin
• 7:35 AM - Officials Meeting at starter station
• 7:40 AM - Timers Meeting at the computer operator tent
• 7:55 AM - Clear the pool
• 7:57 AM - National Anthem
• 8:00 AM - Meet begins

Team Areas:

• The team areas will be located in the circular parking lot immediately north of the pool. This area will be blocked from vehicle traffic.
• Each team’s area will be clearly marked upon arrival
• The clerk tent will be set up on the south end adjacent to the pool.
• Several large trash bins will be placed around the team areas so that we can keep the area clean

Seating on Deck:

• With the larger crowd this weekend, we ask that all folding chairs be kept off of the pool deck so that spectators can easily move on and off deck to watch their swimmers’ events.
• There are lounge chairs on deck and tables in the picnic area available on a first come basis
• If folding chairs are needed for any special accommodations on an individual basis we will work with you to find location that works

Concessions:

• Chick-Fil-A biscuits, Anita's breakfast burritos, coffee, donuts, snacks, candy, and drinks will be available for purchase from the concession stand.
• Cash and Venmo for payment, with a $5 minimum purchase for Venmo.

Swim Meet Theme: Shark Week

Parking: Parking is available in the parking lot by the pool and along Grassland Grove Drive. Note: Do not park in the first parking lot on Willowsford Lane or directly on Willowsford Lane. There will be signage.

Timing: We use the Dolphin timing system across our six lanes.

Team Area: Please have swimmers find their team area in our parking lot in the half-moon area (between the pool and the Lodge building). 

Seating: We ask that all spectators and swimmers keep the pool deck clear near the clerk of course area as traffic tends to bottleneck. To maintain clear sight lines and facilitate efficient meet operations, parents not working the meet as a deck official, volunteer lane timer, or other meet positions are not permitted along the far side of the pool. Further, competitors may not loiter along the edges of the pool between the timers and the starter equipment. We encourage families to bring their own deck chairs to supplement those available on the pool deck.

Supervision: Parents and coaches are responsible for the conduct of their swimmers and families and for cleaning up the team area. Please note, as a safety precaution, no swimmer or spectator is allowed in the baby pool or beach entry area of the pool before, during or after the swim meet.

Programs: We recommend you print programs from the website in advance or use the Swimtopia app.Concessions: Concessions will be available. Cash or Venmo is accepted.

Weather Delay: Our pool management company has a 45-minute wait-out period after a thunder/lightning strike. We are required to clear the pool deck during this time. Together, Team Reps and Head Coaches will address weather delays accordingly.
